Examinations & Registrations

Dr. Musa Yelwa Abubakar
(Examinations & Registrations)

The Directorate of Registration and Examinations was established on the 13th of August, 2007 by the then Vice Chancellor; Prof. T M. Bande. Its initial mandate was to only process examination results on behalf of the Senate, However, in 2008, the University expanded the scope of the Directorate to include registration of both fresh and continuing students at the beginning of every new session. During the reporting year, the directorate had carried out the following tasks:

Registration of Newly Admitted UTME/DE/PG Students

The Directorate had successfully screened, confirmed and registered all qualified 2017/2018 admitted students which ended in February, 2018. The 2018/2019 admitted students are being cleared and so far the Directorate has succeeded in screening and confirming more than half of the admitted students. The exercise is currently going on.

Senate Standing Committee on Examinations (SSCE) Meetings

This committee is supposed to be chaired by the Deputy Vice Chancellor, Academic but because of the numerous schedules associated with that office, the Director has been acting on his behalf. Throughout 2018, the SSCE meetings have been regular holding every Tuesday and Thursday especially when results of graduating students are ready for consideration. The Directorate works hand I hand with Management Information System (MIS) and Academic office to ensure speedy compilation and processing of results. In that respect issues of delay In processing of final year results has drastically reduced such that mobilization for NYSC is at when due.

The Directorate has succeeded in considering the following number of results at both undergraduate and graduate levels during this reporting year January 2018 to date:

Undergraduate                                                                                                7,715

Postgraduate including Part-time and affiliated Programmes             1215

Uploading of Results by Examiners

The Directorate made it a routine activity in ensuring that all couses taught by respective lecturers are uploaded into EDUERP portal to enable both students and the directorate access results. This current year, over 98% of staff have uploaded their results. This was achieved due to the pressure mounted by the Senate on the need to ensure compliance. The directirate has been monitoring with a view to serving as reminder on senate directive with regards to uploading results.

Production and Distribution of a booklet on guidelines on registration and examination processing

The Directorate made a submission before the Senate requesting for the review of the above guidelines but was unanimously rejected based on the fact that the book that was printed in2007 was never in circulation hence many stakeholders are not aware of its existence. Therefore, Senate directed that the booklet be reprinted and circulated to all concerned staff, department/units. That was successfully carried out and distribution was also made to all the relevant offices/officers within the University.

Appointment of Deputy Director

In May this year the Vice Chancellor appointed Dr Abubakar Roko of Computer Unit to serve as the Deputy Director. This was done taking into cognissance the background of the officer in issues that border on computer based examinations of the University.

CBT Examinations

The Directorate supervised the conduct of computer based examination organized for all courses in the General Studies Division during the 2017/2018 second semester examination.

Online Processing of Results/Notification of results

The Directorate observed that a lot of delays are created in processing of results and issuance of notification of results to graduating students hence a collaborated effort of the directorate, MIS and Academic office to facilitate result processing and ensure speedy release of notification of results. On two occasions, the Directorate steered the presentation of the procedures for actualizing the above move. Presently, the level of this online processing has reached over 80%. The directorate is tirelessly working to ensure commencement of the online processing come 2019 if Senate approves the implementation.
